HairX Clinics is responsible for the personal data collected directly through this website and our clinic communication channels.

  • Photographs you upload to use the AI preview tool or to request an assessment.
  • AI-generated preview images and related technical processing data.
  • Communications sent through forms, telephone, email, WhatsApp, or social-media channels.
  • Technical information, including your IP address, device and browser type, operating system, referring page, pages visited, cookie identifiers, and approximate location derived from your IP address.
  • Advertising and analytics information, such as campaign source, website interactions, and conversion events, where you have allowed the relevant cookies.

Please do not submit information about another person unless you have their permission. Do not upload a photograph of a minor or any third party without the valid consent of a parent, legal guardian, or the person concerned, as applicable.

3. AI Hair-Transplant Preview

Our AI tool creates an illustrative preview of how hair restoration may appear. To provide this feature, we process the photograph you upload and generate a modified image.

The preview:

  • Is a visual simulation only.
  • Is not a medical diagnosis, treatment plan, or professional medical advice.
  • Does not guarantee eligibility for a procedure or predict an actual result.
  • Must not replace an in-person assessment by a qualified medical professional.

Uploaded photographs and generated previews are not published publicly by HairX. We do not use them to train AI models or for advertising without your separate, explicit consent.

4. How We Use Your Information

We may use your information to:

  • Provide the AI preview you request.
  • Respond to questions and consultation requests.
  • Schedule appointments and provide requested clinic services.
  • Communicate with you by telephone, email, WhatsApp, or another channel you select.
  • Assess and improve website performance, security, and user experience.
  • Measure advertising performance and prevent fraud or abuse.
  • Comply with legal, regulatory, medical, or professional obligations.
  • Send marketing messages only where permitted and where you have provided any consent required by applicable law. You may opt out at any time.

We process personal data when you consent, when processing is necessary to take steps at your request or provide a service, when we have a legitimate business or security need, or when the law requires it. Health-related information and identifiable photographs are handled with additional care and, where required, on the basis of your explicit consent.

5. Retention Period

Photographs uploaded to the AI preview tool, AI-generated previews, and information submitted through website consultation or contact forms are retained for no longer than 30 days from the date of upload or submission. After that period, they are securely deleted or irreversibly anonymized, unless:

  • You ask us to delete them earlier.
  • You become a patient and the information forms part of a medical or treatment record.
  • A longer period is required by applicable law, necessary for patient safety, or needed to establish, exercise, or defend legal claims.

Medical records created as part of actual clinical care are retained separately for the period required by applicable medical and legal obligations. Security logs, consent records, transaction records, and cookie data may also follow different retention periods where reasonably necessary or legally required.
